ContingentMissing
Two minors named directly. Ann and Caleb are contingent on the group term with no trust or custodian in place. If a claim were paid while either is under 18, it would go through a court-appointed guardian. Worth raising with their attorney, who is already engaged.
Mary's 403(b) has no contingent beneficiary. Not your contract, but it is a five minute fix and it comes up at every estate review.
Ann turns 18 on May 22. She becomes eligible for her own record, and she has been a named beneficiary in this family since she was 10.

Setting up Magellan
Ten steps, about an hour. Do them in order, because each one feeds the next.
1
Set your annual income goal
10 minEnter gross commission for the year, not take-home and not premium. Everything else is built from this number.
Underneath it, four buckets come out before you keep anything: taxes, operating, leads and marketing, and a chargeback reserve. What is left is take-home.
Each row has a % / $ toggle. Operating and Leads default to dollars, because your E&O premium does not rise when you raise your goal. Taxes and reserve default to percentages, because they genuinely scale.
Set the tax percentage with your CPA, not from a rule of thumb. And remember Magellan only tells you the number. The money has to move to real accounts.
2
Describe your business mix
5 minMedicare share of new business, commission per enrollment, and renewal per member. Then your average first-year commission on life and annuity.
Leave the toggle on My estimates for now. After twelve closed cases, switch to Use my actual numbers and it calculates your real mix from what you have placed. It will not pretend before then.
3
Read the activity guide
2 minNothing to enter. Your income goal worked backward into placements, applications, recommendations, conversations and leads worked.
Write down the weekly column. A week is something you can schedule. A year is not.
4
Add carriers and commission schedules
20 minThe longest step and the one that pays off most. Every commission figure in the app comes from here.
- Add a carrier, then add products under it
- Percent of premium for life, flat per enrollment for Medicare
- Use the as earned, no advance toggle for carriers that do not advance
- Hit the green Save product when each one is complete
Under each product is a plain-English line showing what it pays on a sample premium. Check that against a statement you have actually received. If it is wrong here it is wrong everywhere.
5
Products, links and scripts
15 minEdit Products you write so it matches how you sell. Add carrier portals and quoting tools under Lines of business.
Set your phone and email handoff. For RingCentral, turn on click to dial inside the desktop app, then set it as your system default for TEL and CALLTO.
Then write your scripts. Write the objection responses now, while you are calm. You will not write them well at 2pm with someone on the line.
6
Training and licenses
10 minOpens as a worked example. Click Set up my training to clear it.
Enter your NPN and resident state, your required hours and renewal date, then log courses as you finish them. Add every license and appointment with its renewal date.
The usable window subtracts September onward, because certification season and AEP will take that calendar whether you planned for it or not.
7
Back up, and mean it
2 minYour entire book lives in one browser on one device. Clearing your cache takes it with you.
Friday afternoon, hit Back up now and drag the file into Google Drive. Ten seconds. Keep the last few rather than overwriting.
A backup sitting in your Downloads folder is not a backup if the laptop is the thing that dies.
8
Add your first household
5 minName the household, then add people. Each person has a first name, last name and goes by.
Open an opportunity from the household. Pick the product and carrier, enter the premium, and it tells you what the case is worth if it places.
9
Import and work leads
when you buy a listImport a CSV, map the columns, and tag the batch with a product and source. That tagging is what makes the right script appear when you call.
Filter the table, select what you want, and add it to the call queue. Choose straight through or cycle back, which works a batch then starts again at the top of that batch.
Old leads can be exported for a marketing drip and tagged so you do not blast the same people twice.
10
Then just log everything
dailyUse Log activity after every call, email and text. It creates the follow-up task with a due date so nothing depends on memory.
Check Income weekly and enter what actually landed against each placed policy. Expected versus received is easy. The variance between them is where the money hides.
A CRM with perfect settings and no activity tells you nothing. A CRM with rough settings and every call logged will tell you within a month which of your assumptions were wrong.
What this does not do
- No email or calendar sync. It hands off, it cannot read back.
- No sync between devices. Each browser holds its own copy.
- No Sircon or NIPR feed. Licenses and CE are entered by hand.
- No file storage. Documents stay in your carrier portals and Drive.
Most of these need a server. When you outgrow browser storage, that is the conversation to have.

Life pays a percentage of premium and is usually advanced. Medicare pays a flat amount per enrollment, capped by CMS, renewed monthly for years 2 through 6, and clawed back entirely on a rapid disenrollment. Because the two behave nothing alike, Magellan models them separately rather than averaging them into one number. Rates shown are illustrative. Enter your own from your carrier and IMO agreements.

Are these actually comparable?
Checked before anything elseOne mismatchTwo of three assumptions line up
- Premium: $12,000 on all three. Matches.
- Underwriting class: Preferred non-tobacco on all three. Matches.
- Solve basis: the MassMutual illustration was run to a $400,000 face amount. The two Guardian illustrations were run to a $12,000 premium. Those answer different questions, and the cash value columns are not comparable until they match.

Different rules
Whole life and IUL cannot share a value table. IUL guaranteed columns usually show the policy lapsing, and IUL current columns rest on an illustrated crediting rate constrained by AG 49-A rather than on a declared dividend. Shown side by side, the guaranteed view unfairly favors whole life and the projected view unfairly favors IUL. Magellan will build a structural comparison instead, comparing how each one guarantees, credits, charges, and gives access, with the value tables kept separate and labeled.

What the pattern says
THE EXPENSIVE ONE
Rated offers refused are your single biggest loss, 17 cases and $126,800 of AP, and they die at a median of day 38 after you have done all the work. Two of the three most common conditions behind them are ones you could flag at fact-find. Pre-qualifying harder would cost you a few applications and save most of that.
THE FIXABLE ONE
13 went dark after the recommendation, a median of 19 days in. Your silence rule was written for exactly this and it started in January. Watch whether this number falls by summer.
WORTH REVISITING
Of 16 lost on cost, 5 came back within a year and 3 of those placed. Cost is often timing. All 16 should be in a nurture campaign rather than closed and forgotten.

Confirm each payment against the carrier statement when it lands. Later this can read statements directly, but the value is in the checking, not the automation. Most agents never look, and short payments are more common than missing ones.

WHERE THE FORECAST IS THIN
62% of your weighted pipeline sits in Application and Underwriting, which is healthy. But only $53,600 of AP is in the first three stages, and at your conversion rates that supports about 4 placements. You need roughly 9 more discovery conversations by June to hold pace through Q4.

Phone and texting
Allo connectionTurn this on once your Allo key is saved in Netlify. Then press Test.
Send texts fromRequired, and the number must have outbound SMS switched on in Allo. Check which of yours do.
Names in AlloMagellan adds a contact to Allo whenever you file a lead or save a household, so a callback shows a name. Press this once to send everyone already in your book.
Video meeting linkYour standing room link. Templates use it wherever you write {link}. Paste a Daily room link and the call also opens inside the household, themed to match Magellan - any other provider still works as a link.
Booking linkYour scheduling page - Calendly, Microsoft Bookings or similar. Templates and automations use it wherever you write {book}, and Magellan adds the lead's name and email to the link so they land on a half-filled form instead of an empty one.
This is the highest-return line in these settings when your calling time is limited: a lead who books themselves costs you no dials and shows up more often than one you chased.

About that roomIt is one permanent room shared by every appointment, because a room per appointment needs Daily's API key, and a key cannot live in a page anyone can view. So the link never expires and anybody holding it can walk in - send it when the appointment starts, not days ahead. Per-appointment rooms arrive with the server.
Not for Medicare. CMS requires sales, marketing and enrolment calls with beneficiaries to be recorded and retained, six years under the 2027 guidance. Recording is a paid Daily feature and the file still needs somewhere compliant to live. Keep Medicare on your recorded phone line; use this for life, annuity and final expense.

Client link comes fromLeave this empty and the client gets the plain Daily room link - Daily's own look, on Daily's domain, which works for everyone. Magellan's theme only covers your side of the call, because Daily takes its colours from whichever page embeds it.
To theme the client's side too, the meet folder in this build has to be deployed somewhere public and its address put here. Not this site: Magellan is kept private because the functions here act on your Allo account with no caller check, and opening it up to let clients reach one page would expose all of them.

Facebook pageUsed wherever a template says {facebook}.
Client filesWhere the documents live. Pick your cloud drive and paste the folder your client folders sit inside - its address from the browser bar, or a Share link. Each household then gets its own folder in there, linked on the household's Files section, and the File repository tile under Tools opens the top of it.
Magellan keeps the checklist of what a case still needs; your drive keeps the documents themselves. Nothing is uploaded from here and nothing is read back, because reading a folder needs a sign-in that cannot live in a page like this one - that arrives with the server. Magellan recognises the address, so if you paste a Dropbox link it stops calling it Drive.

Text templatesClick one in the compose box and it fills the message. Tokens: {first}, {me}, {agency}, {npn}, {link}, {book}, {facebook}.
Email templatesUsed by the mail icon on a contact. Same tokens as the texts.
Leads from Facebook and web formsAnything posted to the lead-intake endpoint lands here and is filed when Magellan loads.
Files you can attachAllo sends text only, so a photo or document goes out as a link. Save the ones you send often and they appear in every compose box.
Can Allo text a photo?Their docs contradict themselves on this. This asks the API directly. Put in your own mobile and any public image link, then read what comes back.

WHERE THIS STANDS
The trust owns John's Guardian policy and pays premiums from its own account. The one thing outstanding is the beneficiary designation on that policy, which still names Mary personally rather than the trust. Until that changes, the structure does not do what it was drafted to do.
Is it actually funded
Four things have to be true
✓
Trust executed and EIN obtainedSigned June 14, 2019. EIN issued June 20, 2019.
✓
Separate trust bank accountOpened at Truist, July 2019. Premiums are paid from it, not from John and Mary's joint account.
✓
Policy ownership assigned to the trustGuardian change of ownership recorded January 14, 2025.
!
Beneficiary designation updated to the trustStill names Mary Smith personally. The trust owns the policy but is not the beneficiary of it, so proceeds would pass outside the structure. This is the open item.
Funding status is a record of what has been done, not legal advice. Halloran & Pike drafted this trust and any change should go through them.

The existing policy was transferred into the trust on January 14, 2025 rather than issued to it. Federal rules pull a transferred policy back into the estate if the insured dies within three years of the transfer.
John is 54 and healthy, so this is a tracking item rather than a worry. It closes in January 2028 and Magellan will say so when it does.

Three ways this could go
Guaranteed values onlyIf John dies in year 3.
10-PayMary receives $384,200. Three years of premium paid in, $36,000.
WL 99Mary receives $441,900, the largest of the three.
MM 100Mary receives $428,600.
If he stops paying at year 7.
10-PayReduced paid-up policy worth $118,900 in death benefit, nothing further owed.
WL 99Reduced paid-up worth $96,400. Ten years of premium left unpaid.
MM 100Reduced paid-up worth $93,100.
If he needs $50,000 in year 8.
10-PayAvailable. Guaranteed cash value is about $82,000 by then, loan at 5% fixed.
WL 99Available. About $71,000, loan at 5% fixed.
MM 100Available. About $68,000, but the loan rate is variable and the policy uses direct recognition.
WHY THE 10-PAY
John wants funding finished before he retires at 64, and the 10-Pay is the only one of the three that guarantees it. He gives up $57,700 of guaranteed death benefit for that certainty. Written here so the reason survives the conversation.
This summary does not replace an illustration. All three full illustrations are attached to the Smith file and must be delivered and signed before or at application. Guaranteed values are contractual. Non-guaranteed values reflect each company's current dividend scale, are subject to change, and are calculated on assumptions that differ between carriers. Dividend history describes the past and does not predict the future. If any existing coverage would be replaced, North Carolina replacement rules apply and the required notice must be delivered.
